Privacy Policy

KW Legacy Agent Hub (the “platform,” “we,” “us”) is a private, invitation-only tool operated by Keller Williams Legacy for our affiliated real estate agents, their authorized assistants, and brokerage staff. This policy explains what information the platform collects, how it is used, and how access to it is kept within our brokerage.

This is a private network. Everything posted here — upcoming listings, open-house requests, property details, photos, and contact information — is visible only to approved KW Legacy agents, the assistants those agents authorize, and brokerage staff. It is not a public website. We do not publish this information to the open internet, list it on consumer portals, sell it, or share it with anyone outside the brokerage. Content behind the sign-in is not visible to search engines or the general public.

Who can use the platform

Access requires an account that a brokerage administrator has approved. The platform is intended solely for KW Legacy agents, the assistants they authorize to act on their behalf, and brokerage staff and administrators.

Information we collect

Account & profile: your name, email, phone, profile photo, website, and role — provided when you register or are added.
Content you enter: listings, open-house requests and time slots, messages to other agents, and any property details or photos you upload.
Sign-in information: if you sign in with Google, we receive basic profile details (name and email) to create and verify your account. We never receive your Google password.
Technical & usage data: standard log and device information and error diagnostics, used to keep the service running and secure.

How we use information

Operate the platform — display listings and coordinate open houses within the brokerage.
Send in-app and email notifications (for example, new listings and open-house activity). You can turn most email notifications off in your profile.
Keep the service secure and reliable — monitor for errors and misuse and provide support.

Who can see your information

Other approved KW Legacy agents, authorized assistants, and staff or administrators, within the platform.
Administrators and staff may have broader access to manage the platform and support agents.
Assistants you authorize can act on your behalf for listings and open houses.
We do not share your information with the general public or outside parties, except with the service providers listed below and where required by law.

Service providers

We rely on a small set of trusted vendors to run the platform. They process information on our behalf and are not permitted to use it for their own purposes:

Supabase — database, authentication, and file storage
Vercel — application hosting
Resend — delivery of notification emails
Google — optional sign-in and address lookup (Maps / Places)
Sentry — error monitoring

How long we keep information

Direct messages are automatically removed after about six months.
Photos on posted open-house requests are cleared after about six months (the request record remains).
Your account and its data are removed when your account is deleted — for example, when you leave the brokerage or an administrator removes it.

Your choices

Update your profile information at any time in the app.
Manage your email notifications in your profile settings.
Ask an administrator to correct or delete your account information.

Security

Access is restricted to approved users behind authentication, with database-level access rules that keep listing and agent data behind the sign-in. No system is perfectly secure, but we take reasonable measures to protect the information here.

Not a consumer service or the MLS

The platform is an internal coordination tool for our brokerage. It is not the MLS or an official system of record, and it is not intended for use by the general public or homebuyers.

Changes to this policy

We may update this policy from time to time. When we do, we will post the new effective date at the top of this page.
